Home health employee onboarding, from one link

A new hire gets one email. They upload their license, TB test and ID, sign the agency's forms, and everything lands in their personnel file already tracked. HR sees what's in, what's missing and what to chase.

Where onboarding stalls

A new hire can't start until paperwork nobody is tracking comes back.

01

Four emails and a text

HR asks for the license, then the TB test, then the I-9, then the signed handbook, each in a separate message.

One onboarding link lists everything required for that job title.
02

Paper forms come back as photos

A signed policy acknowledgment arrives as six phone pictures, out of order.

Forms are signed in the browser and filed as one document.
03

The file is built by hand

Someone names, dates and drops each document into a folder, then types the expiration into the tracker.

Each upload is read, dated and filed under the right item.
04

Day one has gaps

The hire starts, and two months later the first survey finds the missing TB test.

What's still missing is on the onboarding page and on the compliance grid from the first day.
03 · The onboarding page

What's in, what's missing, what to chase.

Each onboarding has its own page in the office: every requested item, its status, the submitted documents and signed forms, and the date the packet came back. Requested items are only those the job title needs.

  • Onboarding forms are templates you set once, assigned per job title
  • Resend the invitation or change the email without starting over
  • Past-due onboardings are flagged and the office is emailed
Private link, no passwordThe new hire opens the link on any phone. Nothing to install, nothing to remember.
Upload or sign, per itemEach compliance item is provided as an upload or as a signed form; the link asks for the right one.
Filed as the personnel recordDocuments land under the person and the item, with the expiration date set, so tracking starts immediately.
E-signature includedAgreements, acknowledgments and agency forms are signed in the browser and kept with the file.
Automatic reminders from day oneAnything still missing after the packet comes back is chased the same way an expiring license is.
Office review, your wayApprove every document yourself, or let clear ones file on their own.
How it works

Three steps. Then it runs.

01

Build the packet once

Choose the forms and the compliance items for each job title. Every new hire with that title gets the same packet.

→
02

Send the link

Start onboarding from the new hire's record. They get one email with everything required and a private link.

→
03

Review and done

Submitted documents and signed forms appear on the onboarding page. Approve, and the personnel file is complete and tracked.

Questions

What agencies ask about this.

Can the new hire sign forms on their phone?

Yes. Forms are signed in the browser, on any device, and stored with the personnel file as a single signed document.

What if they send the wrong document?

It waits for you with the reason shown. You can send it back for a better copy or file it where it belongs.

Does onboarding work for contracted workers?

Contracted companies' workers have their own records and requirements. Their documents are collected and tracked the same way.
