Tracking caregiver credential expirations: the spreadsheet, and what replaces it

November 6, 2026 · Benson HR

Why the credential-tracking spreadsheet fails at 40 people, what a working process needs (per-title requirements, dated items, reminders to the person, filing on return), and what to look for in software.

Every agency starts with the same spreadsheet: a row per person, a column per credential, a date in each cell, someone's eyes on it every Friday. It works until about forty people. Then it quietly stops working, and the way you find out is a surveyor or an auditor asking for a document that expired four months ago.

Where the spreadsheet breaks

  • It doesn't know what applies to whom. An RN, a CHHA and an intake coordinator need different items. The sheet grows a column for everything and every row has blanks that may or may not matter.
  • It doesn't act. A red cell is information. Someone still has to text the aide, wait, receive a photo, rename it, file it, and type the new date. That is where it stalls.
  • It isn't evidence. A date in a cell is not a document. Survey asks for the document.
  • It has one owner. When that person is out, nothing happens for a week.

What a working process needs

  1. Requirements per job title. Define the items each title needs and each item's renewal period once. New hires inherit them.
  2. Every item as a dated record. Current, expiring, expired or missing, computed from today, not read by eye.
  3. Reminders to the person, not the office. The person who holds the credential is the one who can renew it. Remind them before it expires and keep reminding until it is fixed.
  4. A way to send it back that files itself. A link that accepts a phone photo and lands the document under the right person and item, with the new date set.
  5. Proof for any date. Compliance as of the survey date, printable.

What to look for in software

Any product that does the five things above will cut the Friday review to minutes. Questions worth asking on a demo: Can I define my own items, or only a fixed list? Can requirements differ by job title? Do reminders go to the employee with an upload link, and from our own email address? What happens to the document they send back? Can I print compliance for a past date? And what does it cost when we grow from 60 to 120 people?

Benson HR's answers

Any item you define, per job title. Reminders to each person before expiry and until it's fixed, from your Microsoft 365 address once connected, with a private upload link. Uploads read, dated and filed, with your approval or automatically for clear ones. Compliance for any date in one click. $495 a month for up to 100 people on record, no per-seat fees. The compliance tracking page has the grid; the pricing is on the home page.
